Refund Policy

1. Payments

​

Payment can be made via the website or BACS (bank) transfer. Cheques may be accepted in some cases and should be made payable to Aimee Gillian.

  • Bookings require full payment upfront.

  • Where a deposit is accepted, it is non-refundable after a 14-day cooling-off period.

  • Some bookings may allow a 25% deposit if made more than 28 days in advance.

  • Bookings made less than 28 days before the course date must be paid in full.

  • On-the-day costs or remaining fees are payable by cash only. Payment after the event is by prior arrangement.

  • Bookings are confirmed only once payment and booking forms have been received and confirmation sent.

  • By paying, all participants agree to these terms in full.

2. Cancellations by Client

​

We understand that circumstances change, but fair notice is required. Personal travel insurance is strongly advised.

  • Cancellations must be notified in writing.

  • Cancellation fees:

    • 29+ days in advance: 25% of course fees

    • 28–7 days: 50% of course fees

    • 7 days or less: 100% of course fees

  • Retreat/Expedition bookings:

    • 70+ days: 25%

    • 70–42 days: 50%

    • 42 days or less: 100%

  • Postponements are treated as cancellations unless agreed in writing.

  • Bespoke courses with significant preparation incur 100% charges if cancelled less than 8 weeks in advance; clients will be notified if this applies.

3. Cancellations by Callisto Holistics

​

Cancellation is a last resort. Weather or events beyond our control may force a course to be cancelled at short notice.

  • Unsafe weather may result in alternative activities or venues on the same day.

  • Full cancellations will result in an alternative date or a full refund.

  • If no alternative date is possible, deposits or payments will be returned in full.

  • Cancellations due to events beyond our control (e.g., war, epidemic, government restrictions) will result in an alternative course date or an 18-month gift voucher.

4. Cancellations During a Course

​

  • If participant actions make the group unsafe, we reserve the right to stop the course. Individuals or groups may be removed.

  • All participants must follow safety instructions, including parents, guardians, or leaders.

  • Participants suspected to be under the influence of drugs or alcohol will be removed.

  • No refunds will be given if the course is stopped for safety reasons.

5. Force Majeure

​

A Force Majeure Event includes anything beyond our control, such as: strikes, civil unrest, war, acts of God (fire, storm, flood, earthquake, epidemic), utility failures, government orders, or supplier breakdown.

  • We are not liable for delays or failures due to Force Majeure.

  • If a Force Majeure Event prevents course completion, the course leader may:

    • Offer an alternative means to meet objectives safely, or

    • Cancel the course immediately.

6. Miscellaneous

​

  • Booking forms must be completed.

  • Non-disclosure of medical conditions, injuries, or past surgeries may put you or your child at risk. Callisto Holistics accepts no responsibility for incidents arising from nondisclosure.

  • Transport is not included; participants must provide their own. Use of our vehicles is by prior arrangement.

  • Participants are responsible for medical and rescue fees in emergencies. For courses outside the UK, adequate medical insurance is required. Callisto Holistics is not liable for emergency service fees.

  • Safety equipment is provided unless stated otherwise.

  • Deliberate damage to equipment will be charged at replacement value.

Gift Vouchers:

  • Non-transferable and non-refundable after 14 days.

  • Cannot be used to purchase additional vouchers.

  • Free gifts included with vouchers must be returned for a refund.

7. Data Protection

​

  • We will never share your personal information without your consent.

  • You may receive special offers; you can opt-out at any time.

  • Booking forms are retained for a minimum of 7 years.

8. Risk & Liability

​

  • Outdoor activities carry inherent risks. We take precautions but cannot eliminate all risk.

  • Participants must follow instructions. Failure to do so may result in injury, death, or material loss, for which we are not liable.

  • Booking any course acknowledges the inherent risks.

  • Participants are advised to have personal accident insurance and to insure personal belongings. Callisto Holistics is not liable for loss or damage.

  • No variation of these terms is valid unless agreed in writing by Aimee Gillian.
